    General Questions

    What does SimplyHR do?

SimplyHR is an HR partner for Indian businesses. We provide HR advisory (strategy, audits, policies, compensation, payroll, statutory compliance and outsourcing), HR automation software (HRMS, payroll, attendance, leave, onboarding, performance and self-service) and learning and development programmes.

    Who does SimplyHR work with?

Mainly startups, SMEs and growing enterprises across India, in sectors including IT, manufacturing, healthcare, BFSI, retail and logistics. We have worked with 300+ companies since 2011.

    Where is SimplyHR based?

Our office is at D-20, Golf View Apartments, Saket, New Delhi. We support clients across India, with advisory delivered on-site or remotely and software available anywhere.

What are India's new labour codes?

Four codes, the Code on Wages, Industrial Relations Code, Code on Social Security and OSH Code, came into force on 21 November 2025, replacing 29 central labour laws. The final central rules were notified on 8 May 2026, and states are notifying their own rules.

Do you offer HR services, software or both?

Both. Many clients use our advisory team and our HRMS together, so policies, payroll and compliance are set up correctly in the software from the start. You can also use either one on its own.

How do we get started with SimplyHR?

Book a free consultation or an HRMS demo. We will understand your team size, locations and HR challenges, then recommend the right mix of services or software.

    HR Advisory FAQs

Questions about HR strategy, audits, policies, compensation, payroll, statutory compliance and outsourcing.

    Explore all HR Advisory services

What does an HR advisory firm do?

An HR advisory firm gives you senior HR expertise without a full in-house team. SimplyHR helps with people strategy, HR audits, policy writing, compensation design, payroll, statutory compliance and day-to-day HR operations, either as projects or as ongoing support.

    Which businesses does SimplyHR advise?

We work mainly with startups, SMEs and growing enterprises across India, in sectors such as IT, manufacturing, healthcare, BFSI, retail and logistics. Most clients come to us when headcount grows faster than their HR processes.

Can we use SimplyHR for a single project instead of a retainer?

Yes. You can engage us for a fixed-scope project such as an HR audit, a policy handbook or a salary structure review, take a monthly retainer for ongoing support, or outsource the entire HR function.

Do your advisors cover the new labour codes?

Yes. The four labour codes have been in force since 21 November 2025. We review wage structures, appointment letters, leave rules, gratuity and exit settlements against the codes and the rules notified for your state.

What is included in HR strategy consulting?

Our engagement covers workforce planning, organisation design, talent acquisition and retention strategy, succession planning and change management. You receive a people roadmap with timelines, KPIs and owners, followed by quarterly reviews.

When does a company need an HR strategy?

Usually when you are raising funds, entering new cities, restructuring or growing past 50 to 100 employees. At that point hiring, reporting lines and pay decisions start to need a plan rather than case-by-case calls.

How long does an HR strategy engagement take?

Discovery and assessment typically take a few weeks, followed by strategy development and an implementation roadmap. Timelines depend on company size and how many locations and business units are involved.

Do you help implement the strategy or only write it?

We support implementation as well. Many clients continue with SimplyHR for policy rollout, compensation changes, manager training and ongoing HR operations once the roadmap is agreed.

What does an HR audit cover?

We review employee records and documentation, compensation structure, performance and training processes, grievance handling, statutory compliance (PF, ESI, PT, LWF), HR policies, exit management and POSH compliance.

What will we receive at the end of the audit?

A written report that lists each gap, the risk it creates and a prioritised remediation plan with recommended owners and timelines, so you know what to fix first.

How often should a company do an HR audit?

We recommend a full audit once a year and a lighter mid-year check. An audit is also worth doing before fundraising, an acquisition, a change in labour law or rapid hiring.

Does the audit check readiness for the new labour codes?

Yes. We check wage definitions, appointment letters, leave rules, overtime, fixed-term gratuity and full and final settlement timelines against the labour codes in force since November 2025.

Which HR policies does a company in India need?

Most companies need leave and holiday, attendance and working hours, POSH, code of conduct, grievance redressal, performance management, compensation and benefits, travel and expense, data protection and disciplinary policies.

Are your policies compliant with the new labour codes?

Yes. We draft and review policies against the labour codes in force since 21 November 2025 and the state rules that apply to you, including leave, working hours and exit settlement timelines.

Can you update our existing handbook instead of writing a new one?

Yes. We review your current handbook, flag outdated or risky clauses, and rewrite only what needs to change so employees are not asked to re-learn everything.

Do you help roll the policies out to employees?

Yes. We provide communication templates, manager briefings and acknowledgement tracking so every employee has read and accepted the policies that apply to them.

What does compensation and benefits consulting include?

Salary benchmarking, salary bands and grades, CTC structuring, performance-linked incentive plans, benefits design such as health insurance and flexible benefits, and a pay equity review.

How does the new wage definition affect salary structures?

Under the Code on Wages, if allowances excluded from wages exceed 50 per cent of total pay, the excess is added back to wages. This can raise PF, gratuity and bonus costs, so many CTC structures need rebalancing.

    How do you benchmark salaries?

We compare your roles against market data for your industry, city and company size, then map each role to a salary band so offers and increments follow a consistent logic.

Can you help with our annual increment cycle?

Yes. We help set an increment budget, link increases to performance ratings and position in band, and prepare clear communication for managers and employees.

What is covered under HR operations support?

Employee relations and grievance handling, documentation such as offer, confirmation and exit letters, HR process SOPs, engagement programmes, attendance and leave administration, and an HR helpdesk for employee queries.

How is this different from full HR outsourcing?

HR operations support focuses on daily administration and employee support. Full outsourcing also takes on recruitment, payroll, compliance and strategy, so we effectively become your HR department.

Will we have a single point of contact?

Yes. Every client has a dedicated HR manager who handles requests, coordinates specialists when needed and reports on open issues.

Can you handle full and final settlements for exiting employees?

Yes. We manage exit checklists, clearances and settlement calculations so wages are paid within the two working days required under the Code on Wages.

    What is end-to-end HR outsourcing?

It means SimplyHR runs your HR function: recruitment, onboarding, payroll, statutory compliance, employee relations, documentation and HR reporting, working as an extension of your leadership team.

Which outsourcing models do you offer?

Three: project-based for one-time work such as audits or policy development, a monthly retainer with a dedicated team, and full outsourcing where we act as your complete HR department.

Is HR outsourcing suitable for a small company?

Yes. It is often the most practical option for companies with roughly 10 to 200 employees that need reliable payroll and compliance but cannot justify several full-time HR hires.

Do you also handle recruitment and contract staffing?

Yes. Recruitment process outsourcing covers sourcing, screening, interviews and onboarding, and we can arrange contract staffing for seasonal or project needs.

What is included in your payroll service?

Monthly payroll processing, payslip generation, PF, ESI and PT returns and challans, TDS calculation and Form 16, reimbursements such as LTA and medical, and payroll cost reports.

How do you keep payroll accurate?

Inputs are validated against attendance and leave data, calculations go through multiple checks, and a payroll register is shared for your approval before salaries are released.

Can you run payroll for employees in several states?

Yes. We handle state-specific professional tax and labour welfare fund rules for each location where you have employees.

Do you calculate full and final settlements?

Yes. We calculate final wages, leave encashment and other dues, and help you meet the two working day payment requirement under the Code on Wages. Gratuity follows its separate timeline.

Which statutory compliances do you manage?

Provident Fund, ESI, professional tax, labour welfare fund, Shops and Establishments registration and renewals, POSH compliance, and the registers and returns required under central and state labour laws.

What changed with the new labour codes?

Since 21 November 2025 the Code on Wages, Industrial Relations Code, Social Security Code and OSH Code have replaced 29 central labour laws. Key changes include a uniform wage definition, mandatory appointment letters, gratuity for fixed-term staff after one year and wages on exit within two working days.

What are the penalties for non-compliance?

Penalties depend on the law and the breach, and can include fines, interest and damages on late PF or ESI payments, and prosecution for repeated violations. Under the POSH Act, failing to constitute an Internal Committee can attract a fine of up to Rs 50,000.

Do you support us during labour inspections?

Yes. We prepare registers and records in advance, help you respond to notices and attend inspections or hearings with your team where needed.

When should a startup set up formal HR?

Earlier than most founders think. Once you hire your first employees you need appointment letters, payroll and, depending on headcount and location, PF, ESI and Shops and Establishments registration. A POSH Internal Committee is required at 10 employees.

What does the virtual HR team do?

We set up policies and the employee handbook, handle statutory registrations and monthly compliance, run payroll, introduce simple performance reviews and advise founders on hiring and employee issues.

    Are there long-term contracts?

No. Plans are monthly and flexible, and they scale with you as your team grows from a handful of people to several hundred.

Can you also give us HR software?

Yes. Our HRMS covers payroll, attendance, leave, onboarding and employee self-service, so your processes are automated from the start.

    HR Automation FAQs

Questions about our HRMS, payroll software, attendance, leave, onboarding, performance, expenses and self-service.

    Explore all HR Automation services

Which HR processes can be automated?

Core HR records, payroll and statutory deductions, attendance and shifts, leave, onboarding, performance reviews, expense claims and employee self-service for payslips, documents and requests.

Is the software built for Indian compliance?

Yes. PF, ESI, PT, LWF and TDS calculations are built in, along with statutory reports and Form 16, so payroll stays compliant as rules change.

Can employees use it on mobile?

Yes. Employees can mark attendance, apply for leave, download payslips and raise requests from iOS and Android apps.

Do we have to buy every module?

No. You can start with the modules you need, such as payroll and attendance, and add others later as your team grows.

    What is an HRMS?

A human resource management system is software that stores employee data and runs HR processes such as payroll, attendance, leave, onboarding and performance in one place, replacing spreadsheets and paper files.

What modules does the SimplyHR HRMS include?

Core HR and employee database, payroll, attendance and leave, onboarding, performance management, expenses, employee self-service, document management with e-signatures, and analytics dashboards.

    Is our employee data secure?

The platform is cloud-based with role-based access control, so each user only sees the data their role allows.

How do we choose the right HRMS?

Check Indian payroll compliance, ease of use for employees, mobile access, integrations with attendance devices, reporting and the quality of implementation support. Our HRMS checklist blog covers 12 points to compare.

    What does e-onboarding software do?

It digitises joining: offer letters with e-signature, document collection and verification, pre-joining tasks, IT and equipment requests, and induction schedules, all tracked in one dashboard.

Does it help with appointment letters under the labour codes?

Yes. The labour codes make appointment letters mandatory for every employee. Onboarding software lets you issue standard, approved letters to each new joiner and keep signed copies on record.

Can new hires complete formalities before day one?

Yes. New hires can submit documents, bank and tax details and acknowledge policies online before they join, so day one is spent on work rather than forms.

Does onboarding data flow into payroll?

Yes. Details captured during onboarding create the employee record in the HRMS, so payroll, PF and ESI can be set up without re-entering data.

What features does the performance module include?

Goal setting and alignment, annual, quarterly or continuous review cycles, 360-degree feedback, one-to-one check-ins with agendas, recognition, and team analytics with calibration tools.

Can we move away from once-a-year appraisals?

Yes. You can run quarterly reviews or continuous feedback alongside, or instead of, an annual appraisal, depending on your culture.

How do you keep ratings fair across managers?

Calibration views show rating distributions by team and manager, so HR and leaders can spot overly harsh or generous ratings before they are finalised.

Do you help managers run better reviews?

Yes. Alongside the software, our managerial effectiveness programmes train managers in goal setting, feedback and difficult conversations.

    Which statutory deductions are automated?

PF, ESI, professional tax, labour welfare fund and TDS on salary, with ECR for PF, ESI contribution reports, Form 16 and quarterly 24Q data.

Does it handle arrears, bonuses and loans?

Yes. The payroll engine handles overtime and incentives, arrears and bonus processing, loans and advances, and an investment declaration portal for employees.

    Is attendance linked to payroll?

Yes. Attendance, leave and overtime flow directly into payroll, so loss-of-pay and overtime are calculated without manual spreadsheets.

Can it support payroll changes under the labour codes?

Yes. Salary components can be configured so wages are calculated in line with the Code on Wages definition, including the 50 per cent rule for excluded allowances.

    Which attendance methods are supported?

Fingerprint, face recognition and RFID devices, GPS-based geo-fenced attendance for field teams, and mobile clock-in with selfie verification and location tagging.

Can it manage shifts and overtime?

Yes. You can set up fixed, rotational and night shifts, and overtime is calculated automatically according to your policy.

How does overtime work under the new labour codes?

Under the OSH Code, work beyond the normal daily or weekly limit is paid at twice the ordinary rate of wages. Configuring these rules in the attendance system keeps overtime pay accurate.

    Do managers get alerts?

Yes. Managers and HR receive notifications for late arrivals, absences, overtime and policy exceptions, along with live dashboards.

Can we configure our own leave types?

Yes. You can define earned, casual, sick, compensatory off, restricted holidays and any other leave type, each with its own accrual, carry-forward and encashment rules.

How does the approval workflow work?

Employees apply from web or mobile, the request goes to the right manager based on your hierarchy, and unattended requests can escalate automatically.

What do the labour codes say about annual leave?

Under the OSH Code, workers become eligible for annual leave after 180 days of work in a calendar year, earning one day for every 20 days worked, with carry-forward capped at 30 days. State Shops and Establishments rules may also apply.

Does leave data flow into payroll?

Yes. Approved leave, loss of pay and encashment flow into payroll automatically, so there is no month-end reconciliation.

    How do employees submit expenses?

They photograph receipts on their phone and the details are extracted automatically, so claims take seconds instead of a spreadsheet at month end.

Can we enforce our travel and expense policy?

Yes. Spending limits, allowed categories and duplicate checks are applied automatically, and claims outside policy are flagged for review.

Does it work with corporate cards?

Yes. Corporate card transactions can be imported and matched with expense claims.

    How are employees reimbursed?

Approved claims can be paid through direct bank transfer or added to the next payroll run, and employees can track the status of every claim.

What can employees do in the self-service portal?

Download payslips, Form 16 and letters, update personal, bank and emergency contact details, submit tax declarations and proofs, apply for leave and raise HR tickets.

    Is there a mobile app?

Yes. The portal is available on web and as iOS and Android apps, so field and shop-floor employees can use it too.

How does self-service reduce HR workload?

Routine requests such as payslip copies, leave balances and letters no longer need HR's time, and queries are tracked as tickets instead of emails and calls.

    Can employees submit investment declarations?

Yes. Employees submit declarations and upload proofs in the portal, and payroll uses them to calculate TDS for the year.
